Relationship between Resources, Services and Sequences

Aionic uses Resource Categories, Resources, Services and Sequences to establish the offering for customers when they book online. 


Let's break down the different terms and provide some examples:


Resource Categories

A grouping of like resources that are assigned to Services normally they are spaces/rooms, equipment, people or types of offerings.


Resources

The details of resources associated with Resource Categories, including capacity.



Services

An offering for the customer that includes one or more Resource Categories.


Sequences

An offering for the customer that includes multiple services in an ordered sequence.


Hierarchy

In order for Aionic to work as expected there is a hierarchy or order in which these elements need to be set up. 

  1. Resource Category
  2. Resources
  3. Services
  4. Sequences (optional)


Resource Category and Resource Examples

Example 1 - Space/Room

After the Resource Categories and Resources have been set up, the Services are able to be configured using the available Resource Categories.


The below examples use the resource categories and resources set out in the above examples.

Service Examples

Example 1 - Space/Room

Notes:
  • The customer can make a booking for 1 - 4 people to use the Pilates Room during the hours specified in the Service.
  • The service only uses one Resource Category as it doesn't need to be staffed, or have any additional equipment booked out.


Example 2 - Equipment & Space

Resource Allocation = Seat per Customer
Notes:
  • The Pilates Reformers are located in the Pilates Room, therefore when we set up the Service for the Pilates Reformer it must include the Pilates Room resource category.
  • The customer can make a booking for 1 - 4 people to use the Pilates Reformer, which will also book the same amount of capacity for the Pilates Room.
  • For example, if 2 of the 4 Pilates Reformers have been booked, that will also book 2 of the Pilates Room spaces, therefore leaving 2 spaces to be booked for either the Pilates Reformer service or the Pilates Room service. 


Example 3 - People


Service1-1 Pilates Personal Training (30 mins)
Resource Category = Pilates Instructor
Resource Allocation = Resource per Customer
Notes:
  • It is not recommended to manage too many people using this method, but can be used for basic resource allocation if required.
  • The 1-1 Pilates Personal Training service is able to be booked for 1 person due to the resource allocation being Resource per Customer.
  • When the customer books a 1-1 Pilates Personal Training session they won't be able to select who is the trainer, this will have to be done manually.  


Example 4 - People & Type of Offering

Resource Allocation = Seat per Customer
Resource Category = Pilates Instructor
Resource Allocation = Seat per Customer

Notes:
  • The Group Pilates Training session requires both the Group Training resource category and the Pilates Instructor resource category. This ensures that the Instructor can't be booked for another Service at the same time and is allocated to the Group Training Session when booked.
  • If a customer books the Group Pilates Training session for 2 people, there would be 2 remaining spots left in the session. However, that Instructor cannot be booked for another service i.e. 1-1 Personal Training at the same time.  


After the Services have been set up, the Sequences are able to be configured using the available Services.


The below examples use the Services set out in the above examples.

Sequence Example


Sequence1-1 Pilates Personal Training with Reformer
Service #1 = 1-1 Pilates Personal Training (30 mins)
Service #2 = Pilates Reformer (30 mins)
Buffer Time between services = 5 minutes
Notes:
  • The customer can make a booking for this sequence for 1 person, as the 1-1 Pilates Personal Training session is restricted to resource per customer.
  • The Instructor will only be allocated for the time during the first portion of this sequence. So can be booked when the customer is using the Pilates Reformer. And likewise, when the customer is completing their 1-1 session, the Pilates Reformer can be booked by someone else.
  • The service durations cannot be changed in the Sequence. If you wish to have differing service durations to those in the normal service offering, you can set up Private services (which cannot be seen or booked by customers) with alternate durations and add those to the sequence.
